You can request a copy of the official GDPR audit certificate from [email protected] anfragen.

Why Archive Emails?

With the MailStore SPE, you can offer your customers all the benefits of a modern email archiving system. The MailStore SPE creates perfect copies of all emails in a central archive, thus ensuring the availability and security of any amount of data over many years. Your customer’s users can still access their emails and browse them quickly, for example with the help of a seamless integration with Microsoft Outlook.

Benefits for Your Customers

  • Assistance with regulatory compliance
The MailStore SPE helps your customers to meet a growing number of compliance requirements and GDPR obligations.
  • Protection against data loss
Journal archiving helps to safeguard the integrity of the archive. Even PST files can be centrally archived and protected.
  • Reduce storage requirements
Rule-based deletion of emails from the server after archiving, de-duplication, and compression help you to save storage space.
  • Simplified backup & restore
Diminished data volumes on the email server and one-click restore options for users mean shorter backup and restore times.
  • Increase productivity
Users benefit from the fast full-text search function, intuitive operation and the elimination of mailbox quotas.
  • Independence
Archiving that is independent from the email service is an additional security measure for your customers’ email data.

Instances

When selecting a managed-service provider for email archiving, end users need a service that will help them ensure the integrity, availability and confidentiality of their business-critical information. The MailStore Service Provider Edition applies an instance-based concept where each end customer is given its own, self-contained MailStore instance that runs completely separately from the instances of other customers.

Administration of the Instances

Generally, instances are administered centrally by the service provider via the web-based Management Console or the API. This includes creating new instances and managing archive locations.

Dashboard MailStore SPE

A further administrative role exists, however. This is the “archive administrator”, who is responsible for tasks taking place within an instance, such as configuring compliance settings and granting user privileges. Depending on requirements, this role can be performed by the service provider or by the end customer itself. A specialty here is that only the archive administrator has access to the emails archived in the instance. If required, a business model can be implemented such that the service provider does not have direct access to the end customer’s data.

Operating Modes

Single Server Mode

This mode is suitable for service providers that have only a limited number of customers or users, and can be set up within a few minutes. All MailStore SPE components are installed on precisely one server in a single setup process. A transition to multi server mode if and when customer numbers increase can be made at any time without problems.

Multi Server Mode

In multi server mode, the individual components of the MailStore Service Provider Edition (instance hosts and client access servers) are run on any number of different servers and administered and monitored centrally by the management server. This ensures full scalability, allowing you to provide even large numbers of customers with your service.

Components of the MailStore SPE

Management Server

The Management Server’s task is to centrally manage and monitor all the components of the MailStore SPE. Administrator control is either web-based (via the Management Console) or conducted via an API.

Instance Hosts

The job of the instance hosts is to operate the instances created for customers. If the existing instance hosts are running at full load, additional hosts can be added so that more instances can be run.

Client Access Server

End customers use the Client Access Server to access their instances. The provision of multiple Client Access Servers allows different load balancing and security concepts to be implemented.

What is the MailStore Service Provider Edition?

The MailStore Service Provider Edition (MailStore SPE for short) is an email archiving solution tailored to the needs of Managed Service Provider (MSPs). The MailStore SPE allows MSPs to offer their customers email archiving as a service. You can operate the MailStore SPE on your own infrastructure and tailor it precisely to your own individual requirements, with the added option of flexible pricing. The MailStore SPE comes with a branding function so that it can be tailored to your own corporate design and marketed under your own name.

How does the MailStore Service Provider Edition work?

The MailStore SPE is shipped as a software solution. As an MSP, you run the software on your own or a hired Windows infrastructure. The MailStore SPE is founded on an instance-based concept where each end customer is given its own, self-contained MailStore instance that runs completely separately from the instances of other customers. As a general rule, instances are administered centrally by the MSP via the web-based Management Console or the API. Then, there is the “archive administrator” who is responsible for tasks that take place within an instance such as configuring compliance settings and granting user privileges. Depending on requirements, this role can be performed by the MSP or by the end customer itself.

Who operates the MailStore Service Provider Edition?

As an MSP, you operate the MailStore SPE on your own or a hired Windows infrastructure.

Where does the MailStore Service Provider Edition store archived data?

Data archived using the MailStore SPE reside on the infrastructure that you, the MSP, have chosen for the MailStore SPE, i.e. on your own or a hired Windows infrastructure. MailStore Software GmbH has no access whatsoever to these archived data.

What is the difference between the MailStore Service Provider Edition und MailStore Server?

The MailStore Service Provider Edition is an email archiving solution developed specifically for MSPs. The software is run as a service by the provider. MailStore Server, by contrast, is installed on the customer’s hardware and run by the customer “on-premises”. As a registered MailStore partner, you can offer your customers both email archiving as-a-service via the MailStore SPE, as well as MailStore Server in project business.

How is the MailStore Service Provider Edition licensed?

The number of user licenses to be billed is based on:

  • the highest number of end customer employees set up with their own user archive
  • the number of employees set up without a user archive (such as auditors), and
  • the number of user archives set up without allocated users (such as after an employee has left the company or for multidrop mailboxes) in the billing month
