4 Reasons to Keep Your MailStore SPE Installation Up to Date

Our blog post on the importance of software updates was written some time ago, but the issue remains as topical as ever. In this new article, we’ll examine why it’s so important for managed service providers to keep their MailStore Service Provider Edition (SPE) installation up to date.

Reliability and ease of maintenance are key arguments for managed service providers in terms of operating the MailStore SPE. In fact, we regularly receive praise from partners attesting to the fact that their software is running so smoothly that they don’t consider regular updates necessary. But beware: such complacency carries a risk and is not to be recommended. Today, we outline four reasons why it’s important for you to keep your MailStore SPE up to date. Read on!

1. Safety First

Emails contain business-critical data such as in-house arrangements, contracts, quotations, sales, and all the data involving communications with the customer. So, as experts in the manufacture of email archiving solutions, we feel it is our duty to offer you the highest possible security for your email archives so that this data is protected. As a service provider, you too must share this responsibility: if you are to win your customers’ trust, they need to rest assured that the email archiving software they are using is safe and reliable.

In recent years, we’ve continuously upgraded our software – and that includes enhancements in IT security too. Our policy of security by default not only emphasizes the importance we attach to software security, but also demonstrates that this is an ongoing process. As part of the Customer Security Awareness Initiative, for example, we provided support for the Transport Layer Security (TLS) 1.1 and TLS 1.2 hybrid encryption protocol for secure data transfers, in addition to modern authentication for Microsoft 365 and Google G Suite (also known as Google Workspace).

Successive expansion of security features is an integral part of our regular software updates: after all, in the dynamic world of IT, potential threats emerge almost daily. The consequences are ever-increasing security requirements, and these must be incorporated in each new software update. Only by keeping your SPE installation up to date will you benefit from these advancements and offer your client base a safe and secure email archiving environment.

2. Improved Archiving Functions, User-Friendliness, and Bug Fixes

Our software updates not only concern security: better email archiving functions and enhanced user-friendliness are part and parcel of our efforts to continuously upgrade our products. Examples include simpler creation of group policies and a significant increase in performance when moving messages around the same archive. Another cornerstone of effective email archiving is the regular elimination of bugs. Sometimes, these remain undiscovered and only become apparent during day-to-day operations. The moment an error is documented, it is corrected via a bug fix, which is then released in the subsequent software update.

3. Compliance With the General Data Protection Regulation

In addition to the product-related reasons, another important one for keeping your SPE software up to date concerns the EU’s General Data Protection Regulation (GDPR).

The GDPR serves to standardize legislation on the processing of personal data by private companies and public institutions throughout Europe. The regulation sets out a raft of obligations on reporting and accountability, data security, and the rights of data subjects, with any non-compliance potentially leading to severe penalties (fines of up to 20 million euros or up to 4% of a company’s global annual turnover).

These obligations extend to what is known as “security of processing” pursuant to Article 32 of the GDPR. Thus, when a company implements technical and organizational measures (TOMs), it must always consider the state of the art and that includes regularly updating software. This is the only way to ensure maximum security in data processing. So, in order to be able to contribute to compliance with GDPR requirements on the software side, you should always implement the software updates available for your MailStore SPE installation.

4. Your Entitlement to Support

Even though our software is simple to use and maintain, there may be times when you require technical support. That’s no problem since, as a registered partner, you’re entitled to a comprehensive support service. That said, to guarantee the security of our software in the long term for both MSPs and their customers, we can only provide this support service for the current version of the MailStore SPE software. Regardless of our terms of contract, the latest version of the MailStore Service Provider Edition allows you not only to meet certain legal requirements regarding the GDPR, but also to provide your own customers with the full benefits of our software. If not, you’ll receive notification that a later version is available. You can also be notified by email whenever a new version becomes available.
