What Is Journaling – and Why Is It Important?

Journaling, or more precisely “SMTP journaling”, allows email messages to be archived immediately after they are received and sent. To do this, the administrator configures a journaling rule in the email system that automatically forwards a copy of every incoming and outgoing email to the archive system. This is the basis for legally compliant email archiving. This is how you can make sure that all emails are archived in a way that is long-term, true to the original, traceable, and available at any time. The problem: With this form of archiving, the existing folder structures in the email system are not transferred.

When you archive emails, you want to be able to find them again quickly later on. That’s why it’s a real advantage when the familiar folder structure from your mailbox is retained in the archive – everything remains clear and familiar. With MailStore Cloud, you automatically retain your familiar folder structure because MailStore Cloud synchronizes the folder structure with all your mailboxes. All emails archived via journaling are assigned to their respective folders. These can be both user mailboxes and shared mailboxes. Unlike MailStore Server and MailStore SPE, no additional mailbox archiving is necessary. This efficiently prevents duplicates in MailStore Cloud and reduces the overall administrative workload.
